The Charlotte Harbor Visitor & Convention Bureau is challenging community residents to utilize their connections to bring meetings and conferences to the Charlotte Harbor Event & Conference Center and to become Charlotte Harbor Meetings Ambassadors.
Generating meeting contacts will help book the Event & Conference Center, introduce new revenue sources, increase hotel occupancy, generate more spending in local businesses, and help to create a strong economic impact for Charlotte Harbor & the Gulf Islands.
Individuals who are successful in generating overnight conference business will receive unique recognition as a Charlotte Harbor Meetings Ambassador which will entitle the bearer to become an exclusive owner of an acre-foot of Charlotte Harbor.
Top Ten Reasons to Host Your Meeting in Charlotte Harbor & the Gulf Islands
HOW IT WORKS
First, think about all of the associations and organizations including, alumni, military or social connections to which you have or have had membership or access. If you know of a meeting or conference that is the perfect fit for the Charlotte Harbor Event & Conference Center, please complete this form or contact Sean Doherty with the Charlotte Harbor Visitor & Convention Bureau at (941) 743-1900 or sean.doherty@charlottefl.com, with as much information about the meeting or conference as possible including:
- Name of organization and website address
- Name of meeting/conference
- Contact name, phone number, and email address of meeting planner or other decision maker within the organization
- Next available year (including approximate dates or month if possible
- Number of estimated attendees
- Any other information or needs/desires specific to the group that that will assist us in our efforts to recruit the event to Charlotte County
Meeting and Conference Capabilities of the Charlotte Harbor Event & Conference Center:
- Targeting meetings/conferences of up to 500 attendees
- Hibiscus Hall: 20,000 square foot exhibit hall capable of accommodating 112 exhibit booths or up to 900 banquet style. Room can be divided into three equal sections
- Up to 4 breakout rooms can be utilized simultaneously each measuring approx. 900 sq. ft. (max. 94 people theater style)
- State-of-the-art audio/visual/lighting equipment and technologies, internet access throughout, staging, risers, tables, chairs, podiums, etc.
- In-house catering and concessions provided by Boston Culinary Group
- 240 on-site parking spots (free parking)
- Over 350 hotel rooms within one block of the Event Center
THE RULES
- Submit a lead to the Charlotte Harbor Visitor & Convention Bureau (CHVCB) for a future meeting and/or conference.
- The resulting meeting must generate hotel stays of 10% or more of the total attendance to qualify. (Example: 500 attendees = 50 room stay minimum)
- More than one lead may be submitted and multiple leads are encouraged.
- Leads will be qualified and responded to by the CHVCB.
- If the meeting/conference is booked, the referring individual will be designated a Charlotte Harbor Meetings Ambassador and will be rewarded with an exclusive Deed to an acre-foot of Charlotte Harbor.
We encourage you to join our campaign as your contribution to the end result has the potential for a very positive impact on our community. Your reward is the pride you may take in representing Charlotte County as an Ambassador, AND deeded ownership of a part of our internationally renowned aquatic jewel, Charlotte Harbor.

What Exactly is an Acre-Foot of Water?
It’s a lot of water! An acre-foot is 43,560 cubic feet which is approximately 325,851.4 U.S. gallons, or 271,328 imperial gallons or 1,233.5 square meters. It is an acre in surface area with a depth of one foot.
